SCOPE OF THE PROJECT:
CLIENT IS SEEKING A MID-LEVEL PROGRAM/PROJECT COORDINATOR TO WORK DIRECTLY WITH THE CLIENT LEADERSHIP TEAM TO ENSURE THE SUCCESSFUL TRACKING OF MODERATELY COMPLEX OPERATIONAL SUPPORT TASKS THAT DIRECTLY IMPACT THE SUCCESS OF THE STATE’S TECHNOLOGY SERVICES.
THE PROGRAM/PROJECT COORDINATOR WILL PRIMARILY BE RESPONSIBLE FOR COORDINATION/TRACKING OF, AND REPORTING ON, OPERATIONAL SUPPORT TASKS ASSOCIATED WITH CLIENT SERVICES SUCH AS TECHNOLOGY IMPLEMENTATION, SERVICE DEPLOYMENT AND OTHER RELATED CLIENT FUNCTIONS. THE PROGRAM/PROJECT COORDINATOR WILL ALSO SUPPORT THE CREATION OF WRITTEN ARTIFACTS SUCH AS PROCEDURE DOCUMENTS, PROCESS FLOWS AND OTHER SUPPORTIVE DOCUMENTATION. THE PROGRAM/PROJECT COORDINATOR WILL INTERACT WITH STAFF, OTHER TEAM MEMBERS, VARYING LEVELS OF MANAGEMENT AND INTERNAL AND EXTERNAL ORGANIZATIONS, INCLUDING VENDORS PERFORMING OUTSOURCED WORK, IN THE COMPILATION AND MANAGEMENT OF INFORMATION NEEDED FOR COORDINATION, TRACKING AND REPORTING PURPOSES.
THIS PROJECT SCOPE INCLUDES, BUT IS NOT LIMITED TO:
• COORDINATING, TRACKING AND SUPPORTING TASKS RELATED TO TECHNOLOGY AND SERVICE IMPLEMENTATION AND DEPLOYMENTS.
• ADDRESSING THE IT SHARED SERVICES DIRECTIVES AS DEFINED BY THE ADMIN EXECUTIVE SPONSOR, GOVERNOR, LEGISLATIVE MANDATES AND STATEWIDE IT STRATEGIC PLAN
• SUPPORTING COLLABORATIVE TEAMS ACROSS ADMIN AND STATE AGENCIES TO ADDRESS STATEWIDE IT SHARED SERVICES DEVELOPMENT AND INTEGRATION
• SUPPORTING RELATED PROJECTS WITHIN ADMIN TO ADOPT A CITIZEN/CUSTOMER FOCUSED MINDSET AND TO DEVELOP AND IMPLEMENT SHARED SERVICES.
• SUPPORTING CLIENT LEADERSHIP TO DEFINE, DEVELOP AND PRODUCE DELIVERABLES AND ARTIFACTS
• MEASURING AND REPORTING ON THE SUCCESSES AND BUSINESS VALUE OF THE CLIENT PROGRAM OUTCOMES, AS DIRECTED BY THE PROGRAM PLAN, GOVERNANCE SUCCESS MEASURES AND THE STATEWIDE IT STRATEGIC PLAN
• ASSIST PROGRAM ADMINISTRATORS WITH ESTABLISHING A REPEATABLE AND ADAPTABLE PROCESS TO MANAGE, OVERSEE AND REPORT ON PROGRAM REQUIREMENTS
DAILY DUTIES / RESPONSIBILITIES:
THIS IMPLEMENTATION ASSISTANCE WOULD INCLUDE, BUT IS NOT LIMITED TO:
• STATUS REPORTING OF OPERATIONAL SUPPORT TASKS AND RELATED WORK EFFORTS.
• IDENTIFYING METRICS AND KEY PERFORMANCE INDICATORS (KPIS) OF PROCESSES AND THEIR OUTPUT.
• REVIEWING AND REPORTING ON SYSTEM GENERATED OUTPUT.
• CREATE, MANAGE AND MAINTAIN PROCEDURE DOCUMENTS SUCH AS; PROCESS FLOWS, STANDARD OPERATING PROCEDURES, DESK MANUALS AND PROCEDURAL GUIDELINES.
• MONITOR AND SUPPORT DEADLINES, MILESTONES AND ACTIVITIES
• APPLY CHANGE, RISK AND RESOURCE MANAGEMENT
• DOCUMENT ALL MEETINGS ATTENDED, DIRECTIVES, AND SIGNIFICANT PHONE CONVERSATIONS.
• DEVELOP AND DELIVER PROFESSIONAL TECHNICAL PROGRAM UPDATES TO CLIENT LEADERSHIP AND SUPPORTING STAFF.
• COMMUNICATES WITH IT LEADERSHIP, BUSINESS LEADERSHIP AND IT BUSINESS CONSULTANTS TO COMMUNICATE PROGRAM STRATEGY, DIRECTION AND CHANGES.
• RESPONSIBLE FOR TRACKING PROJECT DRIVEN TASKS AND MILESTONES
• MUST POSSESS EXTENSIVE KNOWLEDGE AND EXPERTISE IN THE USE OF MICROSOFT OFFICE TOOLS.
