Job Description:
SCOPE OF THE PROJECT:
Candidates should be self-motivated, team-oriented, work under limited supervision, and respond to priority tasks. Candidates must be able to independently research, create specifications, collect status updates, lead testing, actively engage with the team and stakeholders, attend and conduct meetings, provide guidance, and respond promptly.
Due to the current and upcoming volume of projects the Systems Integration team is responsible for, a Project Coordinator is needed to assist in managing project activities and team resources. This position may serve as a formal team leader. It will include requirements gathering with customers, developing and reviewing draft project documents, creating current and future state diagrams, providing technical advice, time and effort estimates, project artifact reviews and updates, and supporting documentation including status and grant reporting. The candidate will schedule and conduct meetings, provide agendas in advance, take meeting minutes, track tasks, assist with project and resource management, communicate with stakeholders, and provide general management assistance. This includes ensuring all project documentation is complete, stored, and available as defined by agency processes and the team manager. All work should align with industry best practices, comply with federal and state regulatory laws, and ensure business continuity. Experience in related job titles such as a Business or Systems Analyst, IT/Program Manager, Project Administrator, Assistant Project Manager and Junior Project Manager is beneficial.
This position will be a part of the Systems Integration team responsible for supporting critical systems and environments used by the Public Health Lab, Disease Surveillance, and other Public Health programs.
DAILY DUTIES / RESPONSIBILITIES:

The Project Coordinator will be part of the Systems Integration team focusing on Public Health integration and system modernization projects associated with Lab, Disease Surveillance, and other Health systems as needed. The candidate will work in a team environment with other Information Technology staff, Program Area system Owners and Subject Matter Experts (SME), contract and vendor staff, and external partners. The Coordinator is needed to assist in managing project activities and team resources. This position may serve as a formal team leader.
The Coordinator will need to learn system capabilities, analyze data and reports, and work with system owners and Subject Matter Experts (SME) to understand current and future states, define business and technical requirements, draft time and effort estimates, and work breakdown. This role supports the team by performing administrative tasks such as scheduling and conducting meetings, drafting agendas, taking meeting minutes; developing, reviewing, and updating project documents including charts and diagrams; task tracking, status and grant reporting, communicating with stakeholders and general assistance for the Systems Integration manager. All documentation should be complete, stored, and available as defined by agency processes and the team manager. All work should align with industry best practices, comply with federal and state regulatory laws, and ensure business continuity.
Specific duties and responsibilities will include but are not limited to the following:
• Study and learn system capabilities associated with assigned Health and Integration systems.
• Work with Program Area System Owners and Subject Matter experts to learn and document their business functions, processes, requirements and needs.
• Work with the team to create and update technical documentation and requirements
• Assist with gap analysis of current state to future state to ensure business and process requirements are met.
• Prepare and manage project documents.
• Create system, architecture, and data flow diagrams using Microsoft Visio including current and future state diagrams.
• Schedule and conduct stakeholder meetings providing agendas in advance
• Facilitate communication between the team and stakeholders throughout the project life cycle.
• Assist with resource scheduling to ensure effective, efficient meetings and task completion.
• Ability to plan, organize, review, implement multiple projects and their milestones to completion.
• Support the team to help them complete project tasks.
• Monitor project progress and create project status reports for assigned Health Programs and Office of Information Technology.
• Create supporting work requests and/or project documentation in approved tracking systems (i.e. Remedy, DevOps, JIRA).
• Maintain system protocols by writing and updating procedures.
• Problem solving to resolve minor issues without assistance and escalation.
• Assist with ensuring that customer and technical needs are met as projects advance.

• Assist with the development of policies and procedures to conform and comply with agency standard cyber security policy design related to information risk management, designation of data as to criticality, confidentiality, and protection. The position will be utilized for 40 hours per week for the duration of this project. The selected candidate may be able to work flexible hours during the week to provide coverage on weekends. Total week hours (to include the weekend) should not exceed 40 unless approved in advance (i.e., hours worked on Saturday and/or Sunday would be deducted from hours worked Mon-Fri). This position would need to be available to support critical systems during business hours, on off hours, and weekends.
The candidate will work closely with the Systems Integration Section Manager to identify, prioritize, and schedule workload and implementation to IT standards and procedures. The candidate will work closely with customers and subject matter experts for the system design, testing, and validation.
